  • Account information: name, email address, password, workspace name when you sign up.
  • Support conversations: messages, attachments, and other content you send through our chat widget, email, SMS, WhatsApp, or Google Chat channels.
  • Customer data: name, email, phone number, and other contact information provided during support interactions.
  • Knowledge base content: articles, documents, and URLs you provide to train the AI.
  • Payment information: billing details processed by our payment provider (Stripe). We do not store credit card numbers.

Information collected automatically

  • Usage data: pages visited, features used, conversation metrics, and interaction timestamps.
  • Device information: browser type, operating system, IP address, and device identifiers.
  • Cookies: session cookies for authentication and preferences. We do not use third-party advertising cookies.
  • Widget visitor data: pages viewed, browser type, and session information when interacting with an embedded chat widget.

2. How We Use Your Information

  • Provide, operate, and maintain the ZipQ platform and services.
  • Process and respond to customer support conversations.
  • Train and improve our AI-powered response system using your knowledge base content.
  • Send transactional emails and SMS notifications related to your support tickets.
  • Send CSAT surveys to collect feedback on support interactions.
  • Analyze usage patterns to improve the platform.
  • Communicate with you about your account, updates, and security alerts.
  • Comply with legal obligations.

3. AI and Automated Processing

ZipQ uses artificial intelligence to automatically respond to customer inquiries, classify conversations, and suggest responses to support agents. AI responses are generated based solely on the knowledge base content you provide. We use third-party AI providers (Anthropic Claude, OpenAI) to process conversation content. These providers process data according to their respective data processing agreements and do not use your data to train their models.

4. SMS Messaging

If you opt in to SMS notifications, we will send you text messages related to your support interactions, including ticket updates, agent replies, and resolution confirmations. You may receive up to 10 messages per active support conversation. Message and data rates may apply. Text STOP to opt out at any time. Text HELP for assistance.

We do not sell, rent, or share your phone number or SMS opt-in data with third parties for marketing purposes. SMS consent is not a condition of purchase.

5. Data Sharing and Disclosure

We do not sell your personal information. We may share information with:

  • Service providers: hosting (Vercel, Supabase), email delivery (Sendro), AI processing (Anthropic, OpenAI), messaging (Twilio), and payment processing (Stripe).
  • Workspace administrators: workspace owners and admins can access all conversations, customer data, and analytics within their workspace.
  • Legal requirements: when required by law, subpoena, or to protect our rights and safety.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Conversation data is retained according to your workspace settings. You may request deletion of your account and associated data at any time by contacting us.

7. Data Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, row-level security policies, and regular security audits. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Object to or restrict certain processing.
  • Data portability.
  • Withdraw consent at any time.
